Track Parts, Deduct Stock Automatically, Know Your True Job Profit

Add parts to work orders and Smarfle deducts stock, prices line items, and rolls parts cost into the job profit calculation. Low-stock alerts keep the truck stocked.

The Problem

Service businesses leak profit when parts costs are not tracked per job and trucks run out of critical SKUs on Monday morning.

Parts Costs Get Guessed

Techs add parts to jobs without recording cost, so invoices bill a rounded number and you never know if the job was profitable. A $50 part marked up to $75 is a 50% margin or a 10% margin depending on how you track it.

Stock-Outs on the Truck

The tech arrives at a job, opens the van, and the part is not there. The job gets rescheduled, the client reschedules their day, and your callback rate takes a hit.

Spreadsheet Inventory Breaks at Scale

A Google Sheet works with 20 SKUs and 1 tech. At 200 SKUs and 5 techs, the sheet falls out of sync with the real truck within a week.

How It Works

1

Build Your Parts Catalog

Create inventory items with name, SKU, cost price, sell price, current stock, reorder level, unit, and category. Import from CSV or add as you go.

2

Attach Parts to Work Orders

On any work order, open the parts picker, see live stock counts, and add parts with a quantity. Stock deducts automatically when you save.

3

Bill Parts on the Invoice

Parts added to a work order pre-fill as line items when you create the invoice. Your tech never forgets to bill a part again.

4

See True Job Profit

Each work order shows labor cost, parts cost, expenses, and profit. You know exactly which jobs are carrying your margin and which are not.

Key Capabilities

Full Parts Catalog CRUD

Name, SKU, cost, sell price, stock, reorder level, unit (each, ft, box), and category. Filter by low stock or out of stock to prioritize reordering.

Auto Stock Deduction

Adding a part to a work order deducts stock in real time. Removing the part from the WO restores stock. No manual inventory adjustments.

Low-Stock Alerts

Set a reorder level per item. The inventory page shows low-stock indicators and filters so you can reorder in bulk before anything hits zero.

Invoice Integration

Parts attached to a WO pre-fill as invoice line items with sell price. One-click bill a completed job with labor + parts + expenses.

True Profit Calculation

Work order profit = invoice total minus labor minus parts cost minus expenses. Finally know which jobs make money.

Stock Value Stats

The inventory page totals stock value at cost and at sell price so you know how much cash you have tied up in parts.

Frequently Asked Questions

Yes. Import from CSV with columns for name, SKU, cost, sell, stock, and reorder level. You can export to CSV for backups or bulk edits.

Stock is restored automatically. If you added 3 of a part and remove 2, stock goes back up by 2. Invoice line items update to match.

Only owners and managers see cost price by default. Techs see sell price when adding parts to a work order, which is all they need to bill correctly.

Inventory is org-scoped today. Per-branch stock is on the roadmap if you have multiple trucks or warehouses and want separate counts.
